FAQ - frequently asked questions

We gathered the most frequently asked questions in one place.
 
If you're unsure about something regarding our centre, read the questions and answers below. And if you don't find what you're looking for there, call us or send us an email.

Click on REGISTRATION FORM. To access the form, log in onto your university e-mail. Fill out the form through MS Forms. Accept the neccessary agreements (during an in-person consultation we'll ask you to sign the agreements on paper). Send us the form. Wait for an e-mail from one of our specialists.

If you've already been at SOWA and have a follow-up appointment that you want to reschedule or cancel, contact your psychologist directly, either via e-mail or MS Teams. E-mail addresses of our staff can be found on our website in the "Contact us" section.

Our psychologists work according to different schedules and they are not available every day. During an initial consultation you should talk with the psychologist about the best way to contact them. You can also call the SOWA office.

If you were informed that the consultation will be held through MS Teams, it's up to you to start the videocall with the specialist.

After you're logged in to your MS Teams account with your JU email address, find the specialist in the search bar at the top of the screen either by their name or by their email address (contact information to our specialists is available on our website).

When you find the correct person, use the camera icon in the chat window to initiate a videocall at the time of the scheduled consultation. Make sure your microphone and camera are working correctly. It's best to be in a quiet and comfortable space during the consultation.

Many students asks us for an on-line consultation, but it's important to remember, that this form of communication requires proper preparations for the consultation to be held in a safe and calm atmosphere.

If you received an e-mail stating that the consultation will be held through MS Teams or you arranged for that with your specialist, please keep in mind that you're the one who is supposed to initiate the videocall.

Before the scheduled consultation, make sure that your device is working, you have a stable internet connection, and your camera and microphone are working. Also, find a quiet and secluded place for the consultation, where you'll feel comfortable talking with a psychologist. If possible, ask others not to disturb you during that time.

A psychological consultation can only be held in quiet and private conditions. We won't agree to hold a consultation if you call us from a public space such as a street, a bus, or a busy corridor at the university.
If you don't have a comfortable place to talk, ask to reschedule a consultation for a later date.

During the working hours, we respond to emails as they come in, but it also depends on our workload.

A consultation usually lasts approx. 45-50 minutes. In many cases, more than one consultation is needed to identify the problem and decide on the best course of action. The number or sessions depends on the problem, the student's needs, as well as their situation, and is determined by a psychologist during a consultation.

We try our best so that the waiting time is as short as possible, but it depends on the time of the year as well as the student's availability (afternoon hours are usually busier).

YES. The confidentiality rules we follow are similar to those of health care institutions and we are guided by the Code of Ethics for Psychologists created by the Polish Psychological Society (PTP).

We aim to create safe and comfortable environment where we can talk about any issue that is important to you, even those difficult ones. While we may consult within our SOWA team on certain cases, we do not share that information outside of our centre. All students have an option to allow us to contact a family member or a friend in an especially difficult situation, but from our side, the confidentiality may only be broken in a situation where someone's life or health is at risk or if it is required by Polish law.

We process sensitive personal data in accordance with the GDPR (General Data Protection Regulation).

Yes.
In that case, we schedule a consultation to talk about the new reason for contact and about the adequate forms of help. If possible, you are referred to the same SOWA specialist you've been in contact before.

Both options are possible, but in-person consultations are preferred. They are held in our centre at 27 Kopernika Street. If, for some reason, you prefer to have an on-line consultation, tell that to the psychologist.
Currently, we don't expect to switch to on-line consultations only, but if such situation arises (ex. because of renovations or pandemic restrictions), we will post about it on our website and our social media accounts.

We do not offer help with technical/procedural issues like financial support, educational process adaptation, visa requirements etc. If you're seeking help with such issues, try contacting your department's office, Accessibility Center or Welcome Center UJ, depending on the issue you have.

Each case is considered separately. In agreement with a student, the decision to schedule a psychiatric consultation is made by the student's psychologist. Psychiatric help at SOWA is possible ONLY while a student is in regular contact with one of SOWA's psychologists.

YES. Our specialists work over the summer as well. Some of our consultations are held on-line (through MS Teams).
